This Privacy Policy explains how we collect, use, share, and protect personal information when you visit the Site, purchase from us, contact support, or use our WordPress plugins. If you do not agree, please do not use the Site or our services.

These are separate plugins that work together as one MailPai product family.

2. What this policy covers (and what it does not)

This policy covers

  • Visiting mailpai.com
  • Creating an account, purchasing MailPai Pro, requesting support, or contacting us
  • Emails we send about orders, licenses, or service notices
  • Marketing emails, where permitted and with an unsubscribe option
  • Limited use of auth.mailpai.com during optional OAuth sign-in for SMTPPai (see Section 8)

This policy does not replace your role as a website owner

When you install SMTPPai, MailPai, or MailPai Pro on your WordPress site, you are typically the data controller for:

  • Your subscribers and contacts
  • Email content you send
  • Visitor data collected through your forms

MailPai is generally not the controller of that data. It stays on your server unless you send it to a third-party email provider you configure (Amazon SES, Google, etc.).

During normal plugin operation, we do not receive your subscriber lists, email content, or site usage analytics for marketing or licensing.

3. Information we collect

3.1 Information you provide

Examples include:

  • Identity and contact: name, email address, company name
  • Purchase and billing: billing address or country, tax ID if you provide it, order details
  • Support: messages, screenshots, site URLs, or log excerpts you choose to send (please redact sensitive data when possible)
  • Marketing preferences: newsletter signup or similar choices

3.2 Information collected automatically on the Site

Depending on how the Site is configured, we or our service providers may collect:

  • Device and usage: IP address, browser type, operating system, approximate location from IP, pages viewed, referring pages, date and time
  • Cookies and similar technologies: session or persistent cookies, local storage, or analytics pixels (if enabled)

We use this to operate and secure the Site, understand performance, and improve content and checkout.

3.3 Information from payment partners

If you buy MailPai Pro through a payment processor, they may share limited transaction data with us (for example: email address, product purchased, payment status). We do not receive full payment card numbers when checkout is handled by a compliant processor.

4. Information stored on your WordPress site (plugins)

When you use our plugins on your server, data is stored locally unless you configure connections to external services.

SMTPPai

May store on your server:

  • SMTP/API credentials (encrypted in the database or in wp-config.php constants, if you use that option)
  • Email log: recipient addresses, subjects, delivery status, server responses, and optionally message bodies (body logging is off by default)
  • Connection and routing settings

SMTPPai does not send usage telemetry to MailPai during normal operation.

MailPai (Free) and MailPai Pro

May store on your server:

  • Contact and subscriber records you create or import
  • Lists, segments, campaigns, forms, and templates
  • Send queue and campaign statistics
  • WooCommerce or WordPress user sync data, if you enable those features
  • License key for MailPai Pro (if installed)

You control retention and export (for example CSV export in MailPai). You are responsible for lawful collection of subscriber data and consent.

5. How we use information (Site and commercial relationship)

We use personal information to:

  • Provide and improve the Site
  • Process orders, deliver license keys or downloads, and send receipts
  • Provide customer support and protect against fraud or abuse
  • Send transactional messages (orders, licenses, critical notices)
  • Send marketing only where permitted, with an unsubscribe option
  • Comply with law and enforce our Terms & Conditions
  • Improve our products and Site (including aggregated or de-identified analytics where possible)

We do not sell your personal information in the sense of a data broker selling lists.

6. Legal bases (EEA, UK, and similar laws)

Where GDPR or UK GDPR applies, we rely on one or more of:

  • Contract — to sell and deliver MailPai Pro and provide related services
  • Legitimate interests — to secure the Site, prevent fraud, improve products, and send relevant business communications (balanced against your rights)
  • Consent — for non-essential cookies or marketing where consent is required
  • Legal obligation — for tax, accounting, or regulatory requirements

7. How we share information

We may share personal information with:

  • Service providers — hosting, payment processing, email delivery, analytics, CRM, ticketing, security (under contracts requiring appropriate safeguards)
  • Professional advisers — lawyers or accountants when necessary
  • Authorities — when required by law or to protect rights and safety

We may also share information in connection with a merger, acquisition, or sale of assets, with notice as required by law.

Plugin data on your server is not shared with MailPai during normal operation. It is shared only with third-party services you configure (see Section 8).

8. Third-party and external services

Email delivery providers (you configure)

When you send mail through SMTPPai or MailPai, message content and recipient addresses are transmitted to your chosen provider (for example Amazon SES, Mailgun, Postmark, Resend, Brevo, Mailjet, Google, or Microsoft). Their privacy policies apply.

OAuth redirect relay (SMTPPai — optional)

If you connect Gmail or Microsoft 365 using OAuth, the browser may briefly visit https://auth.mailpai.com/ during sign-in. The relay:

  • Forwards an authorization code back to your WordPress admin
  • Does not store OAuth refresh tokens or read your mailbox on MailPai servers

OAuth tokens are exchanged and stored on your WordPress server using credentials you enter in wp-admin.

WordPress.org

Free plugins distributed on WordPress.org are subject to the WordPress.org Plugin Directory guidelines. Support for free plugins may be provided through WordPress.org forums.

Links to other sites

The Site may link to third-party websites. Their privacy policies govern those sites.

9. International transfers

If you are outside the United States, your information may be processed in countries with different data protection laws. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) with subprocessors.

10. Retention

We keep personal information only as long as needed for the purposes above, including:

  • Orders and billing — as required for tax, accounting, and disputes
  • Support — long enough to resolve issues, then deleted or anonymized on a reasonable schedule
  • Marketing lists — until you unsubscribe, plus a short period to honor suppression
  • Security logs — for a limited period consistent with security needs

Data stored on your WordPress site by our plugins is controlled by you. Retention depends on your settings (for example SMTPPai log retention days) and your own data practices.

11. Security

We use reasonable administrative, technical, and organizational measures to protect personal information we hold. No method of transmission or storage is completely secure.

For plugins on your site:

  • SMTPPai encrypts stored credentials in the database (or supports wp-config.php storage)
  • You are responsible for securing your WordPress installation, hosting, and backups

12. Your rights and choices

Depending on your location, you may have the right to:

  • Access, correct, or delete certain information
  • Object to or restrict certain processing
  • Data portability (where applicable)
  • Withdraw consent (where processing is based on consent)
  • Lodge a complaint with a supervisory authority

Marketing: Unsubscribe using the link in our emails (if applicable).
Cookies: If we use non-essential cookies, we will provide a consent mechanism where required by law.

To exercise rights related to mailpai.com or your purchase, email support@mailpai.com. We may need to verify your request.

For data collected through your WordPress site from your subscribers, you are typically responsible for responding to data subject requests. Our plugins provide export tools to help you comply.

13. Children’s privacy

The Site and our plugins are intended for businesses and adults. We do not knowingly collect personal information from children under 16 (or the age required in your jurisdiction). If you believe a child provided information to us, contact us and we will take appropriate steps.

14. California privacy notice (if applicable)

If you are a California resident, you may have additional rights under the CCPA/CPRA, including the right to know, delete, and opt out of certain sharing. We do not sell personal information as defined under California law. Contact support@mailpai.com to submit a request.

15. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date and, where appropriate, provide additional notice for material changes (for example on the Site or by email).
